Postini Filtering

All e-mail sent to Cogburnbros.com addresses are first filtered and archived by the Postini system. Postini is the first line of defense from spam and viruses that the Cogburnbros.com organization has in place. An e-mail may be quarantined by this system if it contains a virus, is clearly identified as spam or violates system policy rules. If an e-mail is flagged by the Postini system it will be added to the Quarantine area and you will be alerted in a daily Quarantine Summary. The Quarantine Summary has a Deliver option for each message, so if a message has been placed in Quarantine inadvertently a user can request its delivery using this function.

If an expected e-mail is missing or a user just wants to check to be proactive, Quarantine can be checked in real time by logging into Postini using the shortcut http://cogburnbros.com/postini. From this location the Quarantine box can be viewed and messages can be delivered if the user so chooses.

GMail Spam Filter

Once e-mail passes the Postini system it is delivered to a GMail Inbox that is part of Cogburnbros.com’s Google Apps system. This Inbox also has a more strict spam filter in place. This spam filter can be checked by logging into the GMail interface using the http://cogburnbros.com/google shortcut and checking the spam folder for messages.

The process of delivering a message from Quarantine and checking the GMail spam filter are documented in this training video.

Although is it not reccomended, some users may choose to completely bypass this spam filter. It is possible to do by creating a filter which moves all messsages from the spam section into the Inbox. This will cause a user to receive a large amount of spam, but never to possibly miss a wanted message. Instruction on how to create this filter are at the following address.

If you are an Exchange user you will need to add Cogburnbros.com Google-hosted e-mail to your Outlook account settings. Exchange users are generally limited to in-office users such as project managers, estimators and clerical staff.

Non-Exchange Users

If you are a non-Exchange user you can use Google Apps Sync for Microsoft Outlook to syncronize your Outlook account with your entire Cogburnbros.com Google Apps mailbox. This includes your Inbox, mail Archives, Contacts and Calendars.

Using Google Apps Sync for Outlook provides the major advantage of allowing a user to have one central place for all their e-mail, contacts and calendars. This is especially helpful when used in conjunction with mobile devices such as the iPhone, Android-enabled phone or iPad. These devices maintain e-mail, contacts and calendars in a similar way to Google Apps Sync.

Access Cogburnbros.com Google Apps Via Web Browser

Users of Cogburnbros.com e-mail hosted by Google can access their e-mail via the GMail system from a web browser such as Mozilla Firefox or Internet Explorer. For users who keep their contacts, calendars or documents on this system the web-interface is available as well.

Use your username and password provided to you. If you have lost your password you can call the office and request that it be reset, or fill out this form to request a password reset.

Over the next few weeks, e-mail service for cogburnbros.com will be migrated from the existing WorldClient system to Google Apps. The changes are mostly behind-the-scenes, but users who utilize webmail (WorldClient), or who work from outside the office or using mobile devices will notice some improvements and new features. After a 4 to 6 week transitional period, WorldClient will no longer be available. E-mail housed inside the existing WorldClient system will be migrated to Google Apps before WorldClient is shut down. Some users current or old system passwords were too short to be cleanly moved to Google Apps, those users should contact Ron Cogburn to receive their new temporary password.

Access e-mail via web browser

Google Apps acts at the central hub for e-mail receipt and delivery for cogburnbros.com. You can access your e-mail via web browser using Google Apps just as WorldClient allows for access via browser. The direct link to access Google apps is http://mail.google.com/a/cogburnbros.com/. The shortcut http://cogburnbros.com/google redirects to the direct Google Apps link, one these may be easier to remember. It is still acceptable to log into http://cogburnbros.com and click the Google Apps link instead of WorldClient, or to bookmark the direct link in your web browser.

Google Apps as a whole includes Mail, Contacts, Calendars, Documents and other services. For now, we will only be using the Mail portion. Google Apps mail utilizes the familiar GMail interface for e-mail. Migrating to Google Apps for Outlook users

Users who utilize Microsoft Outlook inside the Cogburn Bros office are configured to have their mailbox managed by Microsoft Exchange, with external e-mail delivery arriving via POP3 service. If you take no action, you will notice no difference, but a technician will eventually come to your computer to reconfigure your e-mail delivery. If you wish to make the change yourself, you may do so using the following instructions:

It is important to remove the previous POP3 account which connects Outlook to the old mail system, leaving both services in place will cause you to receive duplicate mail. Do you remove ‘Mailbox – Username’ as this account connects you to Microsoft Exchange and must remain in place to facilitate your mailbox, contacts, calendars and public folders.

Configuring mobile devices

Google Apps provides a way for mobile devices such as iPhone, iPad, iPod Touch, Android and Blackberry to access e-mail directly. During the transitional phase you can leave your mobile device set up the way it is currently, but once the transitional phase ends your mobile device service will not work until reconfigured. To access e-mail on your mobile device, use setup instructions for the device that applies to you.
